How provider billing data is tracked

Every provider in CareIncite has a billing profile that tracks their billed revenue over time. When your practice is connected to Notenetic, billing data is pulled automatically from your EHR system and attributed to the correct provider based on the provider mapping you configured during setup. Each billing entry includes the date of service, the billed amount, and the location where the service was rendered.

For practices not connected to Notenetic, billing data can be entered manually. Each entry is tied to a provider, a date, and a location. CareIncite aggregates this data into weekly, monthly, and annual views that are used throughout the platform.

How to view individual provider performance

Navigate to the Providers section from the main navigation. You will see a list of all providers in your practice, grouped by location. Click on any provider name to open their detail view. The provider detail view shows their current week billing total, their weekly target, a status indicator (ahead, on track, or behind), and a historical trend chart showing their billing performance over the past 12 weeks.

You can toggle between weekly, monthly, and annual views within the provider detail page, just like the main dashboard. Each view recalculates the target comparison and trend data for the selected time period.

How to set and update provider billing targets

Each provider has a weekly billing target that determines their performance status. To set or update a target, go to the provider's detail view and click Edit Target. Enter the new weekly billing amount and save. The target updates immediately, and the provider's status indicator recalculates on the next dashboard load.

Monthly and annual targets for individual providers are derived from their weekly target. The monthly target is approximately 4.33 times the weekly target (accounting for the average number of weeks per month), and the annual target is 52 times the weekly target. If you need a provider's monthly or annual target to differ from this calculation, adjust the weekly target or contact support for custom target configuration.

How to compare providers within a location

From the Providers section, use the location filter to select a specific location. CareIncite will display all providers assigned to that location in a side-by-side comparison view. Each provider is shown with their current period billing total, their target, their percentage of target achieved, and their status indicator.

Providers are ranked by billing performance relative to their target, with the highest-performing providers listed first. This view makes it straightforward to identify which providers are exceeding expectations and which may need support, additional resources, or a target adjustment. You can switch the comparison view between weekly, monthly, and annual periods using the same time period toggles available on the main dashboard.

What providers see vs. what admins see

CareIncite enforces strict data separation between provider and admin views:

Admin view (Practice Owner, Executive Administrator)
Admins see every provider in the practice. They can view individual provider detail pages, compare providers within and across locations, see practice-wide aggregates, and modify provider targets. Admins also have access to historical data, trend analysis, and export functionality for all providers.
Provider view
Providers see only their own data. When a provider logs in, their dashboard shows their personal billing total, their target, their status indicator, and their historical trend. They cannot navigate to other providers' profiles, see practice-wide totals, or access any comparison views. If a provider attempts to access another provider's URL directly, they are redirected to their own dashboard.

Frequently Asked Questions

Can a provider see their ranking compared to other providers?
No. Providers see only their own billing data and target. They do not see rankings, comparisons, or any data from other providers. This is by design to maintain confidentiality and focus each provider on their individual performance.
What happens if a provider works at multiple locations?
A provider is assigned to one primary location. Their billing data from all locations is aggregated into their single provider profile. When viewing them in a location comparison, their full billing total is shown, not just the billing from that specific location.
Can I set different targets for different providers?
Yes. Each provider has their own individual weekly billing target. You can set different targets for each provider based on their role, caseload capacity, or performance expectations.
