Overview
The scheduling tool is the operational core of PressBoxIncite. It allows Collective Coordinators and Conference Commissioners to build a shared game schedule across all schools in the collective. Athletic Directors can view their own school's games, see the full collective calendar, and stay informed about upcoming matchups. Every game created in the schedule automatically appears on the calendars of both participating schools, eliminating the need for manual coordination between ADs. The schedule supports filtering by school, sport, and date range, and can be exported for use in external calendars or printed handouts.
How to Create a Game
Games are the fundamental unit of the schedule. Each game connects two schools for a specific sport on a specific date and time.

Open the Schedule
Navigate to Schedule from the main navigation. You will see the collective calendar view showing all upcoming games across every school and sport.

Click Create Game
Click the Create Game button in the top-right corner of the schedule view. This opens the game creation form.

Select Home and Away Schools
Choose the home school and away school from the dropdown menus. These lists are populated from the schools that have been added to your collective.

Choose Sport, Date, and Time
Select the sport from the configured sports list, then pick the game date and start time. The sport must be one that was configured during onboarding or added later in Settings.

Save the Game
Click Save to add the game to the schedule. The game will immediately appear on the collective calendar and on both schools' individual schedules. Both Athletic Directors will see the game in their dashboard.
Tip: You can also use the bulk scheduling tool to create multiple games at once. Access it from Schedule > Bulk Create.

How to Edit or Cancel a Game
Schedules change. Weather delays, facility conflicts, and other factors may require you to reschedule or cancel a game.

Open the Game Detail Panel
Click on any game in the schedule view to open its detail panel. This shows the current game information including schools, sport, date, time, and status.

Edit the Game
To reschedule, update the date, time, or location fields in the detail panel and click Save Changes. The change is reflected immediately across all views, and both Athletic Directors see the updated details.

Cancel the Game
To cancel, click Cancel Game in the detail panel. You will be asked to confirm the cancellation. Once confirmed, the game is removed from the active schedule and marked as cancelled in the game history.
Note: Cancelled games do not count toward standings. If a result had already been entered, it is removed and standings recalculate automatically.

How to View the Full Collective Calendar

Navigate to the Schedule
Go to Schedule from the main navigation. By default, the calendar displays the current week with games organized by date.

Switch Between Views
Use the view toggle in the top-right corner to switch between week, month, and list views. Each game entry shows the two schools, the sport, and the time. Click any game to see full details or make edits.
Tip: The list view is best for printing or quickly scanning a large number of games at once.

How to Filter by School, Sport, or Date

Open the Filter Bar
The filter bar sits at the top of the schedule view. It includes dropdowns for school, sport, and a date range picker.

Apply Your Filters
Select one or more schools to see only their games, choose a sport to focus on that season, or set a start and end date to view a specific window. Filters can be combined — for example, view all basketball games for a specific school during January.

Clear Filters
Click the Clear Filters button to reset the view and show all games. Applied filters persist until you clear them or navigate away from the schedule.

How to Export the Schedule

Click the Export Button
Click the Export button in the schedule toolbar. A dropdown will appear with format options: CSV (for spreadsheets), ICS (for calendar apps like Google Calendar or Outlook), and PDF (for printed handouts).

Download Your File
Select your preferred format. The export respects any active filters, so you can export just one school's football schedule or the entire collective calendar for the full season. The file downloads immediately to your device.
Tip: Use the ICS format to add the schedule directly to Google Calendar, Apple Calendar, or Outlook with a single click.

Frequently Asked Questions
Can Athletic Directors create games, or only Coordinators?
By default, only Collective Coordinators and Conference Commissioners can create and edit games. Athletic Directors can view the schedule and enter game results, but they cannot add or modify scheduled games. This keeps the schedule centrally managed and prevents conflicts.
What happens to standings when a game is cancelled?
Cancelled games are removed from standings calculations entirely. If a result had already been entered before the cancellation, it is also removed and standings recalculate automatically.
Can I schedule games across different sports on the same day?
Yes. There is no limit on the number of games per day. The collective calendar will display all games chronologically. Use the sport filter to isolate a specific sport if the calendar becomes dense.
How far in advance can I schedule games?
There is no limit on how far ahead you can schedule. Many coordinators build their entire season schedule before the first game, then make adjustments as needed throughout the year.
Can I duplicate a schedule from a previous season?
Not yet, but this feature is on the roadmap. Currently, you will need to create each season's schedule from scratch or use the bulk scheduling tool to speed up the process.
