PressBoxIncite uses a role-based access system to ensure every user sees the right tools and data for their responsibilities. Below is a breakdown of each role, what it can and cannot do, and how users are assigned to it.

Athletic Director

What they see

Their own school's schedule, game results, standings across the collective, collaboration hub posts, and meeting prep views.

What they can do
  • View and manage their school's game schedule
  • Enter game results and scores for their school's games
  • Post updates and announcements to the collaboration hub
  • Access meeting prep views with live standings and schedule data
  • Message other Athletic Directors in the collective
  • View collective-wide standings and stats
What they cannot do
  • Add or remove schools from the collective
  • Create or edit games involving other schools
  • Change the collective structure type
  • Assign roles to other users
  • Access governance or commissioner tools
How they get access

Athletic Directors are invited by the Collective Coordinator or Conference Commissioner. They receive an invitation email, click the link, and complete their profile setup to join the collective.

Collective Coordinator

What they see

Full collective dashboard including all schools, all schedules, all standings, collaboration hub, and admin settings.

What they can do
  • Create and manage the collective
  • Add and remove schools
  • Build and edit the collective schedule
  • Configure sports and seasons
  • Invite and manage users
  • Assign roles to other users
  • Access all collaboration and meeting prep features
  • Export schedules and reports
What they cannot do
  • Access Conference Commissioner-only features (governance tools, championship brackets) unless the structure is set to Conference
  • Create divisions (requires Conference + Divisions structure)
How they get access

The first user to create a collective is automatically assigned the Collective Coordinator role. Additional Coordinators can be invited from Settings by an existing Coordinator.

Conference Commissioner

What they see

Everything the Collective Coordinator sees, plus conference governance tools, championship bracket management, and conference identity settings.

What they can do
  • Everything a Collective Coordinator can do
  • Set conference identity and branding
  • Manage governance tools and rules
  • Create and manage championship brackets
  • Manage the conference calendar
  • View conference-wide standings and reports
  • Assign Division Admin roles (if using divisions)
What they cannot do
  • Delete the collective entirely (requires support request)
  • Override game results that have been verified by both schools
How they get access

The Conference Commissioner role is available when the structure type is set to Conference or Conference + Divisions. It is assigned by an existing Coordinator or Commissioner from Settings > Roles.

Division Admin

What they see

Their assigned division's schools, schedules, standings, and admin tools. They also see the full conference standings in read-only mode.

What they can do
  • Manage schools within their assigned division
  • View and manage division-level schedules
  • View division standings and stats
  • Assist with playoff seeding for their division
  • Communicate with ADs in their division
What they cannot do
  • Manage schools or schedules outside their assigned division
  • Access conference-level governance tools
  • Create or delete divisions
  • Assign roles to other users
  • Modify the conference structure
How they get access

Division Admin is available when the structure type is Conference + Divisions. The role is assigned by the Conference Commissioner from Divisions > select a division > Assign Division Admin.

View-Only Guest

What they see

Public-facing schedule, standings, and stats for the collective or conference. No admin tools, no collaboration hub, no internal data.

What they can do
  • View the collective schedule
  • View standings and stats
  • Filter by school, sport, or date
What they cannot do
  • Enter game results
  • Edit schedules
  • Post to the collaboration hub
  • Access any admin or settings features
  • Message other users
How they get access

View-Only Guests access the collective through a shared public link generated by the Collective Coordinator or Commissioner. No account creation is required.
